FairCheck HR in your Pocket

Billing and plans

FairCheck charges for the employees you check, not the people who log in. Team members are free and unlimited. The Billing page (in your account menu) shows how many employees you're paying for, how many are in use, and your invoices.

Plans

You pay $3 per employee checked, per month, in Australian dollars, with a minimum of $15 a month. The minimum covers up to 5 employees, so you can buy 5 seats or more. Prices exclude GST. GST is added at checkout and shown on every invoice.

Launch offer: the first 100 customers get their first month free. You still enter a card at checkout, and the first charge is a month after you subscribe. The Employees checked card on the Billing page shows the date your free month ends, and we email you a few days before it does. Cancel before then and you pay nothing. The offer is for an account's first subscription only.

Every account can have 1 employee checked free, for as long as you like. You don't need a card for that. The pay calculator is free for everyone.

On the Pricing page, type how many employees you want to check and the monthly total is shown. Fewer than 5 is charged at the $15 minimum, and you get 5 seats. Continue to payment (or Start your free month, while the launch offer lasts) takes you to checkout. Without the offer, billing starts straight away.

Seats

Each employee you pay for is a seat. A person with a seat is checked: every payslip of theirs is checked against their award. The Employees checked card on the Billing page shows:

  • how many seats are in use and how many you have, with a bar that turns amber at 90% and red when every seat is taken
  • your plan and monthly total, and the end of your free month if you're in it
  • how many payslips are waiting because someone had no seat

Seats are handed out automatically. When a payslip arrives for someone without a seat and a seat is free, they take it. People you add by hand on the Employees page, or create from a timesheet import, take a seat when you add them. People on file without a seat (for example, brought in by a payroll connector but with no payslip checked yet) are counted on the card; while seats are free, each takes one when their next payslip is checked.

On the Employees page, the Checked column shows who holds a seat. Admins can use Free seat to stop checking someone or Give seat to start checking someone. Freeing a seat never deletes anything: the person, their payslips and their past results all stay.

Change how many employees you check

Admins change the count under Change employee count on the Billing page. The +10 seats button is a shortcut. You can't go below 5 seats while you're subscribed.

  • Adding seats is charged straight away for the rest of the month.
  • Removing seats is credited against your next bill. You can't go below the number of seats in use; free some on the Employees page first.

If FairCheck has set your seat count for you, the Billing page says so instead of showing Change employee count. Contact us to change it.

Your subscription renews each month on the same day and charges the card on file. If a payment fails, we email you and Stripe retries the card over the following days, and you keep your seats while it does. If you cancel, you keep your seats to the end of the month you've paid for.

If you cancel, or payment fails and your subscription ends, you drop back to the free plan's 1 seat. The people checked most recently keep their seats, and everyone else's payslips wait.

Held payslips

FairCheck never refuses data because of your plan. Payroll connectors keep bringing everyone in, and every payslip is kept. What the plan limits is which payslips are checked. A payslip that can't be checked yet is marked Not checked and waits:

  • Not checked — no seat: the person has no seat and none were free. The payslip is checked automatically as soon as a seat frees up or you add more.
  • Not checked — who is this?: we couldn't match the payslip to one of your employees, so we can't count it against anyone. Open it and choose who it belongs to (or create a new employee from the name on the payslip), and it's checked straight away.

A banner on the Payslip compliance page counts held payslips, and Show them lists them. Before you confirm an upload, the confirmation screen warns you if more people need seats than you have free.

The same rule applies when checking a pay run before it's paid. People without a seat are listed as "Not checked" instead of being checked.

Invoices

Billing history on the Billing page lists every payment, with a downloadable invoice and receipt for each. Where Stripe issued an invoice for the payment, Stripe invoice › View opens it on Stripe in a new tab, where you can download Stripe's own invoice and receipt PDFs. The link is fetched fresh each time, so it does not expire.

For a plan charged per employee, Upcoming invoice previews your next bill: the date it will be charged, each line with its quantity, unit price and amount, then the subtotal, tax and Total due. It is a preview only. Nothing is charged until that date, and Stripe does not create the invoice itself until then, so an upcoming invoice has no Stripe link. Card details are managed through Stripe's billing portal, linked from your subscription.
