Import a timesheet
Upload a timesheet export and the hours land on each person's record as dated shifts, so a fortnightly or monthly payslip is priced against the hours actually worked in each week. You see who matched before anything is saved.
Timesheet file
"Timesheet file" takes a .csv or .xlsx up to 5 MB, one row per shift. "Download the template (.csv)" gives you the header row and two example rows to match. Columns can be in any order and the header is not case-sensitive; "work_date", "start" and "finish" must be present. "Preview the import" parses the file and writes nothing.
Columns
| Column | What goes in it |
|---|---|
| employee_ref | The payroll id printed on their payslip. The best way to match a person. |
| employee_name | Used when there's no ref. Two people with one name won't be guessed between. |
| work_date | YYYY-MM-DD or DD/MM/YYYY. |
| start / finish | 24-hour HH:MM. A finish before the start reads as overnight. |
| break_minutes | Unpaid break minutes. Blank means none. |
| approved | yes when these are the hours actually worked. Only approved rows can report a shortfall in dollars. |
| public_holiday | yes for a public holiday. |
A row needs at least one of employee_ref or employee_name. For approved and public_holiday, "yes", "y", "true", "1" and "approved" all count as yes.
Preview
The preview groups the file's rows by person and shows who each group matched, its row count, hours, date range and status. People are matched the same way payslips are: by payroll ref first, then by name.
| Status | What it means |
|---|---|
| Matched | Found on file. These rows will be saved. |
| Not on file | Nobody matches. Tick "Create this person" to add them. |
| Ambiguous | More than one person on file shares this name and the file carries no payroll ref to tell them apart. Add the ref to the file, or to the employee record, then re-upload. Nothing is guessed. |
| Errors | One or more rows couldn't be read; each line's problem is listed. Two rows on one date whose times overlap are flagged as an error, not a split shift. |
Ambiguous matches are never resolved on this page — the fix is on the file or the employee records.
Under "People to create", anyone ticked is added under the employer you choose with the name and ref from the file. Their award and classification are set when their first payslip is confirmed. Each new person takes a seat on your plan. If there aren't enough free seats for everyone ticked, nothing is imported and you're told how many are free. Untick some people, or add seats first (Seats).
"Save N shifts" writes the matched groups' valid rows. What's saved is exactly what was previewed: the confirm step posts the previewed rows back, not the file. The preview expires after an hour; if it has, upload the file again. "Start again" returns to the upload page.
Re-uploading the same dates replaces what was saved before for those dates, so a corrected file fixes rather than doubles.
Approved hours are evidence
Rows marked approved in the file are saved as evidence and can report a shortfall in dollars. Other rows are saved as estimates: priced the same way, flagged only. If a pay period holds any unapproved shift, the whole period is treated as an estimate.
Saved shifts appear under "Shifts on file" on each person's record with the source "Timesheet file", where you can remove them. See Employees.
